Successful Time Management : Chapter 5 and 6

CHAPTER 5

5. Managing Interruption.
     Everyone has a different priorities and roles. Starting from the boss, to the subordinates have different activities too. This causes an interruption. None of us is entirely free of responsibility for some of the interruptions in our workday. If there are so many interruptions, then take the steps to eliminate interruptions that you have.
For that,this ebook have some way for us to manage the interruptions.
1. Avoid the activity such as work multiple project at once,be a procrastinators,accept the non-work calls,chatting,and answer all the email receive.
2. Before calling a meeting, determine if it is truly necessary or not. Can you handle it by email or a short conference call? Don't take your time and the time of other people unless a meeting is truly the best way to achieve your goal.
3. If you have a feature "do not disturb" on your phone system, use it. The feature allows you to direct calls to your voicemail rather than having the phone ring in your office. Then when it is convenient for you, you can respond
4. Trying to say 'no' is not a bad thing. When you are in a busy activity, you may say 'no' so that your work is not interrupted. You can try to be polite and ask to change the schedule so you can come to their event.
5. Prioritize your email and ask others to do the same by using an appropriate subject heading. Not every email is urgent. So use the indication of urgent conservatively and ask others to use it sparingly as well. Your email subject should be clear and indicate whether or not a response is needed.

CHAPTER 6

6. Managing Procrastination
     When you are focusing on something other than what you should be focusing on according to your priorities and the priorities of your organization, you are procrastinating. Another more scientific definition comes from psychologist Clarry Lay. He states that procrastination is the gap between the time that we intend to perform a task and the time that we actually perform it. That gap of time could actually be applied to the task that you are avoiding, getting it completed and out of your way that much sooner.
There are some indicators of procrastinators,such as :
1. Finding reasons to leave your desk when you start working on a high-priority task.
2. Leaving something on your to do' list that is actually important
3. Deciding to postpone working on something until you feel like it, have more energy, or are in a better mood
4. Reading emails repeatedly without deleting, filing, or responding.
For that,there are some tips for you to manage the procrastinations.
1. When you are disorganized, you need to learn the tools that will help you normal part your habit, so you need to give yourself the time for all. For example,make a rule that you will not leave for the day without clearing up your work space. The next is,plan your day according to what the most important things to achieve that day are.
2. Realize that no one is perfect and interruption will occur. Instead of letting this cause you to procrastinate, consider it a challenge to your problem-solving skills. Practice some stress-management techniques so that you are prepared for those when problems arise.
3. Take the task and break achievable tasks with the easiest or fastest tasks first so that you feel some sense of accomplishment. Reward yourself as you complete each sub-task.

The conclusion of that chapter are the habit is very determining our successful. For that,we should do our best when doing the tasks or job. Don’t be a procrastinators and handle our activity as well as we can.

Successful Time Management : Chapter 3 and 4

Hello friends,this is the chapter 3 and 4 about “Successful Time Management” books. Here we go...

CHAPTER 3

3. Goal setting
Based on the ebook “successful time management” , goal setting is a powerfull tool that can use to motivate and challenge employees or yourself. In 1990,Locke and Dr.gary Latham said that employees were motivate by having a goal to work towards and reaching that goal improved work performance overal. The author also explain about the S.M.A.R.T Goals. There are :
  1. Specific = When a goal is specific, then you’ll have clearly identified what it is that you expect to be accomplished.
  2. Measurable = Each goal that you set should be measurable so that you have a means of ascertaining how far along you are in reaching the goal as well as when the goal will be complete.
  3. Attainable = Before you start work, you need to be sure that the goals can really be achieved. If not, you need to removing those restraints or lowering the level of the goal so that it becomes attainable.
  4. Realistic = If a goal is to be realistic, it must be something that you are willing and able to work towards.
  5. Timely = The final component of the SMART goals strategy is timely. Without adding a time restriction to your goals, you don't have the necessary motivation to get going as soon as possible.





CHAPTER 4

4. Tools for Prioritization
     Prioritization is the ability to make the best and effective to use of your time, ability, and resources as well. When you feel like work is never-ending, prioritization is what will help you spend your time wisely and move forward on the goals that are the most important. You need to learn how to determine whether or not the sudden urgent request from someone else is truly important in relationship to your goals and your priorities. This ebook also gave an example chart to decide what is important,not important,urgent and not urgent. See below!






The priority are quadrant 1 and 2, then quadrant 3 and 4 are not your priority.

     The another tools is to make a decision. When you aren't certain how to make a decision because you can't seem to identify good criteria, a paired comparison analysis can be useful. You start by creating the paired comparison chart. Assign a letter (A-D) to each of the four items you are trying to prioritize. Then create a grid with each item as a row heading and a column heading.

Successful Time Management : Chapter 1 and 2


Hello Everyone ! This is the first chapter and the second chapter of the book "Successful Time Management". Let's check this out !

Chapter 1
1.      Introduction
            Successful time management will help you to become more effective in completing the tasks that you have to complete so that there is more time available for you to spend on the things that are important to you. This isn’t necessarily always an easy feat. In some cases, it would take significant changes for you to spend time on the things that are important to you. Many things that we want to do can be accommodated if we simply learn to use our time more wisely by applying some effective time management techniques. Doing so will make us happier and more balanced so that we are less susceptible to stress and more able to achieve our goals. Time management also helps you have a greater sense of control over your life – both at work and at home.
There are also a brief exercise. You can list the most important things to you and list the things that spend a lot of your time. For that,you can know what is your priority.
With all of the statement above, this ebook will be able you to have more control over your time and produce more results with the time that you do have at your disposal.
This ebook has a goal "Concentrate on results, not on staying busy".
If you adopt this goal, you will find that it helps to identify which of your activities are actually contributing to your effectiveness and which activities are wasting time, distracting you from goals, and increasing your stress level by making you feel overworked.

2. How is your time management?
A. Self Test
In this ebook,the author gave a self test for us to know our weakest and prioritizations of our time management. Each additional chapter of this book will offer tips to help you improve one of the skills,regardless of where your aptitude is at present. We are be given some questions about our activity,with that we can know what things that we should to do first.
B. Daily activity log
Another way to gauge where your time management issues might be is to keep track of how you spend your time at work. In order to get an accurate picture,you will need to choose a period of time,preferably a week,that is representative of your average workload. In this chapter,the author ask you to make a daily activity log. List the things based on the time wasted. Don’t forget to check the level priority,time ended and total time.

This novel told the story of an Indian girl named as Mary Lennox who grew up without the love of her parents and she always felt lonely even though she lived in affluent family. His father was an employee who held an important position under the England Government while his mother was very busy entertaining herself by partying and having fun. Mary is a child who was never wanted by her parents so when she was born she was handed over to Ayah (a nanny). Mary was a spoiled and selfish girl. Many people don't want to be close to her because of her bad attitude. Until one day,she is suddenly became an orphan because the village where Mary lived was attacked by a deadly cholera outbreak. Mary's parents died. Some villagers died and some fled, including mary's nanny, no one remembered that there was still a little girl who lived at home. Fortunately, Mary was rescued by an officer who at that time was evacuating from the city community and accidentally heard Mary's crying from inside her house. Mary must to live in Yorkshire with her maternal uncle, Archibald Craven. Misselthwaite Manor is a sprawling old estate with over one hundred rooms, all of which have been shut up by Archibald Craven. A man whom everyone describes as "a miserable hunchback," Mr. Craven has been in a state of inconsolable grief ever since the death of his wife ten years before the novel begins. In the Mr.craven’s home, Mary met Martha Sowerby, a housekeeper, who talked a lot about her life as an indigenous servant and taught Mary a lot about caring for others, and other good things. Mary hears about a secret garden from Martha Sowerby. This garden belonged to Mrs.Craven. After her death, mr.craven locked the garden door and buried the key beneath the earth. His wife died after giving birth their son. Mr. Craven thought that the baby was the reason of it. And now he often go travels to get rid of her sadness and leave the Misselthwaite castle under the responsibility of a rigid housekeeper, Mrs. Medlock. Mary, who has no friends, walks through the garden and meets a gardener named Ben Weatherstaff. From him, Mary heard that there was a secret garden that had been closed for 10 years and the key was that. Every night,mary heard a little child who cry and roared from far away. It mades Maria  curious about the person and want to found answers. When Mary was busy playing out of the park, robin (ben's friend) accidentally saw a strange object coming from the excavated land, there was a ring of iron or brass that had rusty, those objects were old keys that appeared to have been buried in the old mirror. A mystery that moved Mary's heart to achieve progress and found answers. Then,mary got the key. She found the way to the secret garden. When she entered to the garden,she immediately felt that there was a big thing she had to do for all the flowers and trees. Miraculously, the park was able to bring change to Mary. She became happier, and change her bad attitude. Not long after that,mary met Dickon Sowerby, a boy who is the brother of Martha Sowerby, he has the ability to communicate with animals and love nature very much. In addition,dickon was also the only person who knew Mary's secrets and worked hard to help Mary build the secret garden and keep it so that no one would know it.
At one night, there was a child who is crying and Mary were determined to find out where the sound came from. She enter the place thatt a boy who was crying. Apparently, he was Colin Archibald, the only one child of Mr. Archibald who had been locked up and hidden for almost 10 years. Mary decided to became friends with colin. Mary told the existence of a secret garden that makes Colin determined to get out of from his room. With the help of Dickon, Colin tries to venture out of his room for the first time in his life.
As time goes by, Mr. Archibald begin to realize that he should not have been dissolved in the past, and think that the secret garden was able to make a big change to Colin. Now he was more able to appreciate a life. The miracle of the park was finally able to reunite Mr. Archibald and Colin. For the first time Colin could feel the warmth of her father that he had dreamed of. And Mary also has a whole new family that was very love her.
